Preparing for Your ISO 45001:2018 Certification Audit
As part of your journey towards ISO 45001:2018 certification, your organization will need an audit by a third-party certification body. This audit ensures that your OHSMS (Operational Health and Safety Management System) and its processes comply with the standard’s clauses. Preparing for the audit can be nerve-wracking, especially for those not used to external audit bodies. The good news? Your auditor will take this into account, so no need to worry.
Having an idea of the questions the auditor might ask can reassure your team. It provides extra focus when it’s needed most. Understanding the auditor’s mindset can help you prepare better.
What Evidence Will the Auditor Require?
The auditor’s main role is to ensure your documentation, processes, and actions comply with ISO 45001. They need evidence to prove this. Here are some questions they are almost certain to ask:
- Are All the Clauses in the Standard Met?From the moment the auditor arrives, they will seek to confirm this. They will break the clauses down but need to ensure overall compliance. Ensure all mandatory documentation is covered. Know the standard well and ensure your organization complies.
- Have You Held a Management Review? This is critical for your OHSMS. It ensures top management input, establishes objectives correctly, and creates a cycle of review and improvement. Ensure you’ve performed this review.
- Have You Recorded Incidents, Accidents, and Near Misses?
Do you have evidence of the correct processes after an accident? Show that you have actions to prevent near misses from becoming future accidents. - Are Your Processes Consistent?
Prove that your processes are consistent internally and meet the standard’s terms. This includes reviewing process effectiveness for continual improvement. - Have You Completed Critical OHSMS Functions?
Ensure you’ve assessed risks and hazards correctly. Perform corrective actions when necessary. Complete internal audits and document them as evidence. The auditor will focus on these critical elements. - Can You Demonstrate Competence, Awareness, and Evidence of Training?Especially in health and safety, your team must demonstrate process awareness. They should know communications and operate safely. Prepare them for auditor interactions. Encourage them to be articulate, truthful, and honest.
- Can You Demonstrate Improvement?
Show how you’ve improved your OHSMS. Demonstrate progress on OH&S objectives and other improvements. The auditor will ask about this.
How to Make the Audit Smoother
Remember, the auditor is there to help you pass, not to make you fail. Anticipating their questions will help you prepare your employees and ensure they are less nervous. It will also help you meet the standard’s clauses.
The auditor aims to ensure your organization remains a safe place to work. They are not trying to trip you up. If the auditor has observations or recommendations, take them on board to improve your OHSMS. Good luck!
